EVENT INFO

To participate in the Ray White Hatea Loop Challenge, you must;

  1. Enter as part of a workplace/organisation team. 

  2. Teams can be made up of 3 or more employees/volunteers/immediate family members and must be 14 years and older.

You can be invited by the workplace/organisation to join a team provided the person is either: 

  1. Not able to represent their workplace/organisation because the workplace/organisation is not entering a team

  2. They work in a team of 2 people or less or as independent contractors or are currently unemployed.​


There are no maximum entries per team. Please note that registering a team does not secure your entry/entry fee, you have to complete an online entry form or submit the bulk upload spreadsheet for each team member to secure their spot as part of that team.

Can volunteers in our organisation/workplace be part of our team?

 

  • Yes, but volunteers must have at least carried out 20 hours or more per year.

What time does the event start?


  • 6.00pm - all participants have to be at the safety briefing by 5.45pm.
  • The Event Organisers reserve the right to modify the start time if required.




Where is the start and finish area?


Hīhīaua Peninsular, Whangarei (located near A’Fare & the Waka and Wave Sculpture, Lower Dent St/Reyburn House Ln)




Is there parking at the event?


There is NO parking available at the event area, ALL participants and spectators will have to park in and around the local council car parks or on side streets where parking is permitted.




What is the course information?


  • The approximately 4.8km run/walk event will begin and finish at the Hīhīaua Peninsular heading through the Town Basin following the Hatea Loop - Huarahi o te Whai shared path in a clockwise direction, crossing the Canopy Bridge, heading along Riverside Drive to Te Matau a Pohe Bridge and crossing the Kotuitui Whitinga footbridge to the finish area.




What are the team catagories?


  • Each workplace team will need to choose which industry category they wish to enter under. Each team within their industry category will be competing for that industry category trophy. The times of the first three participants across the line in each team, will go towards their team time which will be used to calculate the winning team of each industry category and overall team.
  • Teams can enter in the following industry categories (or if your specific category is not there, select the industry closest to yours)
    1. Accounting/Finance/Insurance/Legal
    2. Agriculture/Recreational Services
    3. Real Estate
    4. Government/Health/Education
    5. Sport and Leisure/Tourism
    6. Construction/Building/Transport
    7. Retail/Hospitality
    8. Communications/IT/Media
    9. Volunteer Services

All teams are automatically entered in for the ‘overall team’ trophy and all participants are automatically entered in for the fastest overall male and female trophy.

Workplace CEOs, General/Regional Managers, business owners etc can also select to go in to the “Big Boss” category where workplace “Big Bosses” will compete against each other for the fastest overall male and female Big Boss trophy – select the check box on the entry form for your boss.




Is the event timed?


  • The event will use the computerised timing system. All entrants will have their time recorded by an electronic strip tag connected to the back of their event.
  • It is your responsibility to ensure that you are wearing the race event number and timing tag that has been registered to you. Please do not mix these up with other participants.
  • Gun time will be used for official results.




Is there first aid on course?


  • St Johns Ambulance will be positioned at the start/finish area.
  • Please inform a marshal if you or someone else requires assistance on the course. A tail marshal will follow the event.




What is the event safety information?


  • The event is held on public pathways.
  • Take extreme care when approaching driveways and side roads – expect vehicles.
  • Where there is a lane coned for participants, you are required to remain within the cones at all times, so as to ensure your safety and the safety of others.
  • Take extreme care when passing other participants.
  • Marshals will be wearing high visibility vests and are there for your safety, follow their instructions and those of the event organisers at all times.
  • There will be a lead cyclist preceding the first participant and a tail marshal following the last participant. If assistance is required please stop and wait for the tail marshal, or notify a marshal on the course.
  • Due to health and safety planning no wheeled conveyances (e.g. baby buggies, roller blades or skate boards) or children in backpacks are permitted in this event.
  • No animals (except guide dogs) are permitted to accompany participants during the event.
  • Please obey all traffic laws and regulations.




Can we dress up?


  • This event is all about having a good time, so have some fun in the lead up by getting set with an awesome fancy dress costume and you could be into win a prize!




Where are the drink stations and toilets?


  • A drink station with water will be positioned at the start/finish area.
  • Toilets are located at the start/finish area at Hīhīaua Peninsular. There are also council public toilets located at the Town Basin playground and on Riverside Dr adjacent to the skate park.




Can I listen to my music on a device?


  • For your safety the use of iPods/MP3 players is discouraged. Should you choose to use an iPod/MP3 player during the event please have the volume at a level that ensures you are aware of your surroundings and other participants, please also be aware that your device might get wet during the event.




When/Where will results and photo's be available?


  • There will be an opportunity to get your team photo prior to the event from 5.15pm under the archway at the start/finish or after your team has completed the event at 7pm until prize giving begins at 7.15pm. Langwoods photography are taken the event photos and will be available to view on our Facebook page https://www.facebook.com/sportnorthlandevents
  • Finisher’s results will be available online at www.hatealoopchallenge.co.nz post event.




What about the prizegiving and after-event celebrations?


  • Participants can bring food and a BBQ on the night. There will be a coffee truck available for participants. Whangarei District Council regulations stipulate that the Hatea Loop and Hīhīaua Peninsular is an alcohol free space 24/7 so we ask that this is respected.
  • Live music from band "Loose Change" will proceed after the start and straight after the prize giving. Workplaces can book a spot for their workplace tent (to be done when entering the event, spaces are limited).
  • Prize giving will be held at 7.15pm at the start finish area.
  • Participants must be present at prize giving and show their event number to claim their prize.




How will I know if the event is cancelled?


  • In the unlikely event of cancellation, notice will be given on The Hits radio station and posted on the home page at www.hatealoopchallenge.co.nz and on Sport Northland Events Facebook Page. Where possible attempts will be made to email participants who have supplied an email address with their entry. While we will endeavour to make a decision to cancel the event as early as possible, due to the nature of such events situations can occur quickly and without warning close to the start of an event.




What is the powder made from?

Are there protective glasses to wear?


Yes! The first 800 entries get a pair for free! If you miss out, it is recommended that you wear your own.




How many colour stations are there?


There will be five colour stations on the course.




Refunds & Person-to-Person Transfers?


75% refund - individuals withdrawing from the 29th of July through to the 29th of August 2020

50% refund - individuals withdrawing from the 30th of August through to the 2nd of October 2020

25% refund - individuals withdrawing from the 3rd of October through to the 4th of November 2020

No Refunds from the 5th of November 2020

Why can’t I get all my money back?

About 60-70% of costs are incurred (and spent!) well before race week begins. There are staff costs (wages), purchasing capital items (like a start gantry), marketing, accommodation, clothing, medals, timing.... the list goes on.

The big 'hidden' (because you will never see them) costs are associated with health and safety compliance, operational planning, people planning, landowner access etc. These can (and do) add up to hundreds of hours of work.

We are runners/walkers just like yourself who also enter events and understand from a participant point of view the frustrations of asking for a refund therefor we have done a bit of research and we believe we offer one of the fairest refund policies around.

Person-to-Person Transfers Important! For safety reasons – and to ensure fair and accurate competition – it is absolutely vital that we have the exact name and personal details for everyone taking part in any of our events. If you pass your race number on to any other individual, you *must* tell us about this by following the transfer procedure noted below. Failure to do so may result in your disqualification from the event and potentially your exclusion from all future events we hold. Person to Person Transfer Procedure
  • Login to your Dashboard by clicking the MORE link in the menu of any of our web sites.
  • If you don’t already have an account, follow the prompts to create one and validate your email address.
  • Once you have validated your email address, your registrations will appear in the Registrations tab.
  • Find the appropriate Registration and click on the “Details” button.
  • In the Registration details page, click on Make Changes -> Person-to-Person Transfer.
  • Complete the details for the new person. You must accept the Event Waiver on their behalf.
  • Check the box to remove the Registration from your Dashboard if you would like the new person to be able to manage the registration themselves. The registration will then be available to Dashboard of the email address you specify in the transfer.
  • The new person will need to use the race bib of the original person, so please pass this along if it has already been sent out if at all possible to avoid the replacement bib fee.
